How to Hire the Best Event Planner

Event planning is easier today because there are several groups and companies that provide the service. Although they are all knowledgeable in planning events and parties, it is still very important to screen them before you hire one to handle your corporate event.

Many variables affect your decision for hiring an outside event planner. Consider your budget, reason for hiring an event planner and your event objective. Some groups specialise only in certain types of events, while many more accept all types.  You want your planner to be organized so that you don’t have to worry and can get a good nights sleep. 

Event and party planners are focused on creating unique and memorable events for their clients. Still it could be difficult to find the best one for your particular event. Consider these tips to find an event planner for hosting great events when the time comes.

How to select an event planner

  1. Define your objective and need. It is important to first determine the reason why you are hosting an event and what you want to achieve from the event. Next is the reason why you need an event planner. Is the event a huge affair that has the potential to become a logistical nightmare if not handled properly? Are there no other people who could handle the planning and execution of the event? Lay out the services and activities the event planner should handle, so you can concentrate on finding event planners that best fit your theme and objectives.
  2. Determine your budget. You should have an idea of how much budget you are willing to spend for the event. This will help you decide which planner to hire and what the planner should do, such as selecting the venue, creating the menu, giving recommendations on beverage and food selection, finding speakers, providing entertainment, creating or helping create event documents such as guest list and invitations or managing event-day production tasks.
  3. Use your network. Possibly the best method of finding a good event planner is through word of mouth. Ask your friends who might have used one. Search for the best planner with a strong reputation and the most experience. Check local event planners’ associations, visitor and local convention bureaus and convention sales departments of hotels. These organisations have access to many event planners and know their capabilities. Hire an event planner who is an expert in the type of event you want to host.
  4. Provide an event brief. Event planners have plenty of experience and ideas to share with you. You can find the best one if you provide them with an event brief. They should work with your objectives, your theme and your budget while using their creativity and experience to make your event a success. You will need to be clear on what kind of catering and decor you want. Choose planners who ask you questions about your organisation, your plans and goals and the event you have in mind. A planner who is able to walk you through the entire process is an indication of professionalism and experience.

Interview planners who are experts in your type of event, whether it is a convention, product launch, symposium or company anniversary. Hiring the best one like Oasis events depends on how well you and the event planner understand your needs and objectives.
